The Boarding information section is encompassed by the complete Boarding database. The unique feature of the kennel system database is "One time Entry". For example, if a new pet comes into the Kennel, the record would be entered and then subsequent visits by the same pet could be retrieved to add current visit information without re-entering a complete new record. Some additional information fields included in the Boarding section that provide greater details include: Vaccinations, Emergency contacts, Veterinarian, Belongings, Special services and Medication scheduling. The Boarding database also enables the user to perform powerful query searches for pet information retrieval.
Reservations
The Reservations portion allows for the entering of regular or new pet boarding based on kennel capacity. This portion enables the user to track all the current activities of the kennel to manage the following: Update reserve capacity, Maintain inventory levels, determine Optional services. The Reservations section provides for great efficiency and use of your Kennel to maximize your profit margin. The Reservations can be set based on an Owner or a Pet. There is also the capability to place one or more pets into a single kennel space while still allowing for separation of fees, retail items and services by pet name on the invoice.
New Features: Reservations
A. The Owner / Pet Control Panel is located via FILE, OWNER QUERY. We envision that this will be your primary Call Taking Control Panel. You will see a list of all Owners / Pets with key information. Sort Buttons allow sorts on Owner, Pet, City and
Telephone. You can view Past Reservations for Owner and Pet. If the caller is a New Customer, we have enabled an Add Button to Add the Owner and/ or Pet(s). You can Add a New Owner and Pets from this Control Panel.
B. The Availability Control Panel is located via the FILE, AVAILABILITY menu item. This Control Panel is designed to provide Capacity and Detail Occupancy for a Future Date and Kennel
Category. If you determine to have Availability for that Date, we have enabled a Schedule Button to directly Schedule the Reservation.
C. The Vaccination Lookup Control Panel is located via the File, Vaccine Query menu item. This Control Panel provides quick and flexible access to all Vaccination Records access by Pet, Owner, Date Due, Phone or
City. This facility now gives you complete information at during the Reservation process.
Check-In
Every successfully maintained pet kennel stay starts with proper planning and information gathering. The Check-In section is an essential part of kennel management and for that reason the following functionality is provided:
- Enter Kennel assignment
- Enter Optional Services requested
- List belongings
- Note special needs (i.e.medical)
- Print Kennel name tag
- Print Boarding Agreement
Check-Out
This section completes the successful stay for a pet and again is
designed to cover all the bases. This section's functionality includes:
- Generate invoice based on boarding fee and duration schedule
- Print Invoice
- Edit Invoice: Discounts, Greeting, Retail Items, Special Services,
- Printing of Release form
- Automatically transfer Invoice income total to Financial section
Grooming
The Grooming section manages the current grooming appointments complete by date range, Groomer, Owner and Pet.
Groomers for the kennel can be setup to base the availability for a groomer on a given day by the Groomer's total limit of pets to groom for one day. Also the Groomer's revenue can be based on the total price of the Grooming service or on a percentage. Along with the Grooming appointments there is a separate Grooming Invoice section as well.
Additional Boarding INN Windows Functionality
1. Retail section: A screen from the Check-out and the Grooming Scheduling screens to enter any retail items purchased by the customer, and the entries will be transferred automatically to the Invoice. There is also a new screen in the Administration section to edit the Retail items and choose between a price-markup percentage or a user defined sell price.
2. Employee section: Maintains the complete record of all the employees in the kennel. There is a complete employee screen with Property and Salary subscreens as well. The comprehensive Employee report is found under the Reports Menu.
3. Inventory section: Maintains the complete inventory of your kennel. This section performs the following: Automatically checks re-order points, Maintains inventory received history, Maintains all inventory transactions history, Enables the user to change and maintain inventory levels, codes and vendors. This section also will display and print the following reports: Status report, Customer price list report and Overall Supplies/Retail items report.
4. Financial section: Allows the user to enter expenses and income on separate Income and Expense entry screens. The Income and Expense entry screens enables you to view the complete history of Income and Expense transactions. There is also three new reports in the Financial Reports section which include: Income report, Expense report, Income/Expense report. Each report has its own date range that can be specified when viewing or printing. Any totals from the Invoice once the reservation has been cleared will automatically be posted to the Income and Income/Expense reports for the date the reservation was cleared.
5. Overdue Vaccination Warning Flags: Vaccination records can be established for all pet guests coming into the kennel and any shots that are one year overdue will display a warning flag beside each shot type that is overdue.
System Administration
As Boarding INN customers grow in diversity and size, more “System Administrator” features and functions are provided to streamline the tasks required to keep BIW running efficiently over years of operation. The following items provide a major advancement System Administration features and facilities:
A. The Data Removal Subsystem is accessed from Admin, Supervisor, Password Protected menu. Once the Data Removal menu item is selected, you will see SIX Data Removal Buttons: Boarding Past Reservations, Boarding No Show Reservations, Grooming Past Reservations, Grooming No Show, Pet, and Owner. From the list, you can provide Date Range for Retrieval. Once retrieved, you can view all Reservations in the date range. You have the option of deleting All the Reservations in the range or a Specific Reservation.
B. The Review Invoice feature is accessed via Admin, Supervisor with Supervisor Protection. This subsystem allows a Systems Administrator to Review and Modify an existing Invoice. Once accessed, the subsystem allows for a Date Range to be given and a Reservation Selected. The Reservation in question can be selected and the Check Out process can be reapplied with a review, change, and print of the Invoice. Please note that this feature as well as the above subsystem provides great functionality allowing key data records to be updated or removed. It is the user’s responsibility to provide sufficient backups to ensure access to previous database images before system administrator functions were performed.
C. The Greatly Enhanced Kennel Definition subsystem is accessed via the Admin, Capacity menu items. Our staff has provided two new screens to (1) Define the Kennel Type or Category and (2) the Runs or Kennels of that type. Once you have defined that Kennel Type/Category, you have an Add Run command button that takes you to a Detail Run Screen to define the Runs of that Type/Category. Since the sum of al the Detail Runs should equal the Total Number of Runs in the Type Definition, the Total Defined as well as a “Running Total” of the Detail Runs defined.
D. You now can define a new Pet Type to identify the Pet as
INACTIVE. The Indicator is displayed in the Owner Control Panel and the Pet Will Not appear on the Pet Reservation Selection list.
E. Multi-Level Password Security: Along with the password security that appears when you log into the program we have
included password security in two other areas of the program. One
password security section is found in the Administration menu under the heading
Supervisor. The other new password security section is found when the
Invoice is selected as a client is being checked-out.
